Privacy Statement

At Yogaunlimited we respect your privacy and understand how important it is that your personal information remains secure.
We will not reveal information about you without your permission and will never disclose your attendance at a class, workshop, retreat or training course or other activity we arrange unless we are required to do so for legal reasons or by the emergency services.
If booking a retreat please ensure that the emergency contact person you declare on your booking form is aware that you are attending a retreat with us.

1) What information does Yogaunlimited collect about me? 

a) Coming on retreat

In order to complete your retreat booking we ask for the following information from you:
  • Name
  • Address
  • Date of birth
  • Phone number
  • Email address
  • Gender identity
  • Whether you have any specific needs relating to a disability or health condition including dietary requirements and if you have any physical or psychological health condition that might be affected by the activities we teach.
  • Your previous practice experience
  • Contact details for someone we can get in touch with in the event of an emergency
 
We need this information in order to communicate with you about your booking and to help with room allocation and catering. We do not collect sensitive information about you unless there is a clear reason for doing so, such as ensuring we meet specific needs you may have and fulfilling our duty of care to you.
This information is printed out in paper form for reference during the retreat. At the end of the retreat this is securely destroyed.

b) Enquiring about classes

We hold the following data
  • Name
  • Email
  • Giving details of injuries or conditions that could be affected by Yoga
We need this information in order to communicate with you about your booking and changes to class timetables. We do not collect sensitive information about you unless there is a clear reason for doing so, such as ensuring we meet specific needs you may have and fulfilling our duty of care to you.

c) Booking forms for courses and workshops including details of
  • Name
  • Email
  • Address
  • Reasons attending course
  • Conditions or injuries
We need this information in order to communicate with you about your booking and inform you about any changes. We do not collect sensitive information about you unless there is a clear reason for doing so, such as ensuring we meet specific needs you may have and fulfilling our duty of care to you.

d) Feedback forms for trainings, courses, workshops, retreats and classes.

We request this information (completion is optional) in access how well our services meet your needs. We do not collect sensitive information about you unless there is a clear reason for doing so, such as ensuring we meet specific needs you may have and fulfilling our duty of care to you. We always ask your permission if we can use your comments and separately ask if we ca use your name for marketing purposes. We retain these so we can verify that any comments we use in our marketing are genuine.

e) 1:1 mentoring Mindfulness sessions
  • Name

  • Reason for attending a course (this may include details of your physical and psychological history if appropriate).
  • Paper based notes on each session
All communication by email is securely stored and only available to the person delivering the course. Paper based records are securely stored. If you are under an active treatment programme we may ask you for your GP’s contact details. Your GP will not be contacted without your consent unless we believe there is a risk of self-harm or harm towards others.

f) 1:1 Yoga sessions
  • Name

  • Reason for attending a course (this may include details of your physical and psychological history if appropriate).
  • Paper based notes on each session.

g) Classes attendance record (paper based)

This is paper based and completed each time you attend class. It enables us to tell you how many more classes you have paid for and which payment option you have chosen.

h) Email Newsletter

  • Preferred email format (HTML or Text)
We need these details to send you our monthly Newsletter and occasional ad hoc emails containing details of retreats, workshops, teacher training, courses, events, classes and blog.

You may update you preferences at any time either
  • by entering your details on this form you will then receive a message on the next screen giving you the option to update your preferences.
  • Or by using the change preferences link on the bottom of our newsletter to you.
  • Or selecting the Unsubscribe option on the bottom of our newsletter to you.

i) Teacher training

  • Medical conditions and injuries
  • Assessment notes during course
We need this information in order to communicate with you about your booking and inform you about any changes. We do not collect sensitive information about you unless there is a clear reason for doing so, such as ensuring we meet specific needs you may have and fulfilling our duty of care to you.
 
2) Who at Yogaunlimited has access to my data? 
Both Directors of IYM Ltd have access to the booking information we store.
Data from any 1:1 consultation or group Mindfulness sessions is only accessed by the person or persons running those sessions.
In addition, from time to time we use IT Consultants who have access to our systems in order to provide us with the support we need.
We ensure that any third party we employ has a robust privacy policy and that appropriate compliance contracts are in place.
Our IT Consultants – are aware of the importance of confidentiality and your right to privacy.
 
3) How do you use my information to keep me up-to-date with Yogaunlimited’s news and activities?
 
From May 2018, in line with our commitment to best practice around data protection, we will only contact you about our news, activities if you have specifically said you agree to us doing this, and we will only contact you in the way you have agreed to.
Our communications consist of our regular (usually monthly) newsletter and any other ad hoc communications via email.
As of May 2018, you will only receive these communications if you have opted in.

What if I want to change my communications preferences at a later date?
Every email message we send includes a link to opt out of receiving future emails.

Each year we will remind you to let us know if there are any changes to your contact details.
However, you can contact us at any time to notify us of changes such as a new email address.
If you opt out of receiving our communications at any point, we will record this request on our database. This will ensure that you do not receive any further communications from us, unless in relation to any existing bookings or activities.

4) Do you ever share my information with third parties?
 
We will not at any time sell or exchange your information. We may use other companies to provide services on our behalf. These are trusted partner organisations that work with us in connection with our activities. We only provide these partners with the information they need to deliver the required service. We ensure that any third party we employ has a robust privacy policy and that appropriate compliance contracts are in place. The third parties that we currently use are:
  • MailChimp – to distribute our e-newsletters. MailChimp’s Privacy Policy.
We do not share your information for any other purposes.

5) How is my credit/debit card information processed?
 
Online  / phone transactions
At present, we do not take payment online or over the phone.
 
6)  How secure is the information I give you?
 
Yogaunlimited takes the care of your data seriously and undertakes to protect your personal information by putting in place appropriate physical, electronic, and managerial procedures to safeguard and secure the data we collect.
In today’s cyber environment it is unfortunately not possible to completely guarantee against loss, misuse or alteration of data, for example in the event of a successful cyber-attack. However, should this scenario arise, we have a robust data breach notification procedure in place and will contact you as soon as possible giving full details of any data that has been compromised.

7) How long will you keep my information?
 
We will keep a record of your participation in one of our activities for seven years after which it will be securely deleted or destroyed.
 
8) The right to be forgotten
 
You have the right to be ‘forgotten’, which means that if you request us to, we will remove all the data that we hold on you from our systems. Complete removal of information from our systems will result in the loss of all historic data. If you decide to contact Yogaunlimited at a later date it may be necessary to ask you to provide information you previously gave us.
If you have attended one of our activities (class, workshop, retreat, training etc..) we are required to retain your details for seven years after participation has ceased. After this time we will securely delete or dispose of them.

9) How can I see what information you hold on me?
 
Under the Data Protection Act 1998 and the General Data Protection Regulation (which will be effective from May 2018) you can request a report detailing the information we hold about you. To obtain a report, please write to:

We aim to issue an initial response to all enquiries within five working days, and will offer a full response to all information access requests within a month. If we require additional time we will keep you informed.
The following information will be required before access is granted:
  • Your full name and contact details
  • Your relationship to Yogaunlimited
  • A copy of your passport or national ID card
Reports will be sent by post. We reserve the right to charge a reasonable admin fee for additional copies of the same information.

10) Cookies on the Yogaunlimited website
 
Our website uses cookies – small text files that are placed on your device to provide you with a better user experience when using our site. In general, cookies are used to retain user preferences and provide anonymous tracking data to third party applications such as Google Analytics. As a rule, cookies will make your browsing experience better.
